Job description
- Create and register new projects within the project management system, ensuring all records are accurate and complete from the outset.
- Draft, issue, and regularly update project assignment letters in alignment with project timelines and personnel changes
- Consolidate and summarize the technical team's activity data by reviewing time logs recorded in the project management system.
- Monitor and verify project status updates within the project management system and cross-reference with internal data sources.
- Analyze project stage progression by evaluating the technical team's time-log activities against project agreements and defined milestones.
- Communicate project stage information to the Company Secretary and Finance department to support timely and accurate invoicing processes.
- Manage and maintain project timesheets within both the project management system and Microsoft Excel, keeping data current at all times.
- Actively coordinate with the technical team regarding billable time logs, non-billable time logs, and real-time project status updates.
- Provide guidance and assistance to the technical team on utilizing features and functions within the project management system effectively.
- Maintain and update internal data repositories in real time to ensure accuracy and reliability across all project records.
- Provide workaround solutions to the technical team during system disruptions; coordinate with the IT team and third-party vendors to resolve issues promptly.
- Supply supporting data and reports to cross-functional teams as needed, facilitating informed decision-making across divisions.
Job requirements
- Bachelor’s degree in Information Systems, Management Information Systems, Computer Science, or a related field.
- Minimum 1–2 years of experience in a system administration, data administration, or project support role.
- Experience working in a professional services or technology company is an advantage.
- Highly proficient in Microsoft Excel and Microsoft Word, with the ability to manage complex spreadsheets and produce well-formatted documents.
- Willing and able to work overtime when project deadlines or business needs require it.
- Capable of managing multiple tasks simultaneously, effectively prioritizing workload to meet deadlines in a fast-paced environment.
- Strong ability to handle, validate, and reconcile large volumes of data with a high degree of accuracy and thoroughness.
- Works with speed, neatness, and precision.
- Equally effective as an independent contributor and as a collaborative team member — proactive, self-motivated, and full of initiative.
